What Procurement Teams Should Evaluate Before Approving Delivery Bag Samples

A practical sample-approval method covering fit, handling, construction, branding, cleaning and production handover.

Review against a written specification

The sample should be checked against the same document that will control production. Measure external and internal dimensions, confirm material layers, inspect hardware and compare branding position and colour with the approved artwork. If the specification has no tolerance, add one before production approval.

Record every accepted deviation. A sample may work even when it differs from the first drawing, but the revised value must enter the production specification or the factory may revert to the original document in mass production.

Load the sample with the real product

Empty bags hide problems. Fill the sample with the trays, pizza boxes, grocery items or cups it will carry and use the typical order weight. Check usable capacity, clearance at the opening, divider position and whether the load can move during transport.

Repeat the test with the smallest and largest expected order. An oversized carrier can damage a small load just as easily as an undersized carrier can crush a large one.

Test the handling sequence

Observe the complete journey: packing, closing, lifting, carrying, placing in the vehicle, removing, opening and unloading. The sample should be evaluated by the people who perform these tasks, not only by procurement staff at a meeting table.

Check balance, strap adjustment, handle position, ground clearance and whether the bag stays open when it needs to be packed. Look for steps that require two hands when the operator will only have one available.

Inspect the construction at stress points

Focus on strap anchors, handle attachments, base corners, lid hinges, zip ends, divider connections and places where a rigid panel meets fabric. Pull and flex these areas under load. Decorative sewing quality is visible, but structural sewing quality determines service life.

Turn the bag inside out where possible. Loose thread, exposed foam, incomplete binding and poorly finished lining corners become future cleaning and durability problems.

Assess branding as part of the construction

Confirm artwork dimensions, position, colour, edge definition and visibility when the bag is loaded and worn. Branding that looks centred on a flat panel may disappear behind a rider’s arm or fold once the product is in use.

Rub and flex the branded area. Confirm that the process is compatible with the shell and the cleaning method. Record the artwork file version that was approved with the sample.

Approve production controls, not just the object

Before signing off, agree how the factory will confirm the mass-produced goods match the sample. The approved sample, specification, colour references, artwork and packing instructions should be retained together as the order reference.

Define the inspection points and the response to non-conforming work. The sample approval is complete only when the factory can explain how the approved features will be controlled through the run.
